About the Role

We are hiring a Recruitment Admin to support a Recruitment agency in Australia for Mining.

As we are still Talent Pooling for the role, there is no definite start for this role yet.

Responsibilities:

1. Pre-Employment Medicals Coordination:

  • Schedule medical appointments, ensuring optimal timing for both the candidate and the medical centre.
    * Locate medical centres close to the candidate's residence.
  • Regularly liaise with medical centres to coordinate appointments, ensuring smooth communication and operations.
  • Engage with candidates to confirm appointment details, ensuring they are well-informed and prepared.
  • Dispatch relevant forms and documents to candidates via Adobe DocuSign, and closely monitor their return status.
  • Proactively follow up on outstanding forms, results, and invoices, ensuring timely processing.
  • Collaborate with multiple medical centres to obtain competitive quotes, ensuring cost-effectiveness while remaining within the allocated budget.

2. Uniform & PPE Orders:

  • Partner with our uniform provider, TWW, to place orders for PPE and uniforms for successful candidates.
  • Confirm sizes and specifics for each candidate, ensuring accurate orders.
  • Monitor delivery timeframes, ensuring they align with expected timelines and our candidates' needs.

3. Communication & Administration:

  • Serve as a point of contact for candidates during the pre-employment phase, answering queries and resolving any concerns – generally push this back onto consultants but help out when needed.
  • Maintain a systematic record of all communications, appointments, and orders to ensure traceability.
  • Regularly report on the status of medical bookings and PPE orders to higher management, ensuring transparency and efficiency.
  • Check that candidate/mine site inductions have been completed and returned
  • Chase outstanding timesheets – following up with clients and candidates via phone and email

Requirements

  • Bachelor's Degree in Psychology, Human Resource or relevant experience.
  • Demonstrated experience in administrative roles, preferably within recruitment or HR environments.
  • Proficiency in Adobe DocuSign and standard office software (e.g., MS Office Suite).
  • Exceptional organisational skills, with the ability to multitask and prioritize tasks effectively.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and problem-solving abilities.
  • Ability to establish and maintain professional relationships with medical centres, suppliers, clients and candidates.
  • A proactive approach, with the ability to anticipate needs and potential issues.
